other people’s major events – ORDA Hockey /
Globetrotters / Lions Auction etc…
iv) During Billing Week –
additional hours may be scheduled to assist with
printing, recording, scanning, collating,
stuffing and mailing invoices along with other
billing related activities.
There is a possibility for
this position to receive more regular hours in
the future – any increase in hours will be based
on the ongoing needs of the station, and the
productivity, motivation and performance of the
applicant.
The Office Assistant will
be responsible for the following tasks under the
direction of the Business Manger;
1) “Traffic”
i) Verify Customer
information / Order Entry / Payables Entry /
Accounts Receivable / Co-Op Copy & Affidavits
ii) Generation of each
station’s commercial logs
iii) Editing advertiser
placement, daypart rotation, product separation,
and commercial continuity
iv) Assuring smooth
transitions (uploads) from “Traffic” logs – to
daily Program logs
v) Confirming spot load
continuity during creation of daily Program Logs
2) National / Regional
Affidavits
i) Accessing national
partner Networks databases online
ii) Download the necessary
documentation and audio to complete each
Network’s requirements
iii) Translate and convert
downloaded data / Audio into the appropriate
local formats
I.e.: a)
Assign new Network spots’ Cart numbers
b) Convert mp3 audio to correct local format –
ie: Broadcast Quality Audio
c) “Drag” Broadcast Quality Audio into “DAD”
system (Our On Air Players)
iv) Completing online
affidavits confirming the airing of all required
Network Commercials
v) Coordination with each
partner Network to automate daily routine
activities where possible
a) Streamline the process
b) Maximize efficiency
3) Organize and Maintain
Station Databases and files
i) Scanning paperwork into
appropriate folders
ii) Categorize, clean,
re-build where necessary and maintain the FCC
Public File
iii) Categorize, clean,
re-build where necessary and maintain the Client
Folder
iv) Schedule and maintain
backups for ALL station files and folders
v) Schedule and maintain
backups for ALL station websites and off site
data
vi) Develop, categorize,
label and maintain up to date Inventory of all
Office Furniture, Electronics, and Promotional
Items
4) EAS – 911 – AMBER ALERT
(Primary Station Contact)
i) Scheduling
and logging of weekly and monthly on air tests
and activations
ii) Ordering
supplies (Ink / Paper to assure proper
functionality of reporting systems)
iii) Maintain
log and records of all EAS activity whether
transmitted or received
iv) Regularly
review FCC EAS regulations and assure compliance
with those regulations
v) Communicate
with NY and VT EAS Coordinators and maintain all
appropriate EAS monitoring Assignments
5) Reception / Telephone /
Gatekeeper
i) Answer phones – Identify
Priorities / Listen / Triage / Answer Questions
/ Follow Up / Take Action / Voicemail
ii) Maintain and assure the
continuity of all Voicemail and related
announcements – Update when necessary
iii) Take Requests on the
Request Lines / Welcome visitors, guests,
winners, customers, clients
iv) Maintain Prize
Inventory / Mountain Radio Marketplace Inventory
Office Assistant –
Qualifications
Applicants will be asked
to document their comfort level and ability
working with computers. Specifically, the ideal
candidate will provide evidence of their
previous experience and comfort level with
computer programs such as Microsoft Excel,
Microsoft Word and others specific to previous
experience. Documented experience with ACT,
Access, and Front Page, Audition, Outlook or
other proprietary programs will be a plus.
The Ideal candidate will
provide references from, and evidence of
previous work experience along with the ability
to read and understand a product manual and be
comfortable following directions in an active
working environment. Applicants must also be
able to work in a challenging atmosphere and be
able to focus on tasks which require efficient
us of time and attention to detail while
managing deadlines associated with those tasks.
Organizational skills are a pre-requisite and
will be essential to the tasks. A working
knowledge and understanding of bookkeeping is a
plus. Someone with a good work ethic, who is
comfortable managing more than one task at a
time, and who can work independently without
constant direction while able to maintain a high
level of communication and coordination with the
Business Manager.
